Accruals

Accruals is located under Management-->Users-->Accruals (see figure 12.1).
The Accruals section allows you to maintain leave request balances for your users. Users who have been assigned accruals may view their balances via an Accruals link at the top right of their timesheets. Hovering the mouse over this link will display all current accrual balances (except for hidden balances) for different pay types.

To create or manage accruals for a user, you must first specify the search criteria for the user. When finished, click the Search button. The search results will be displayed from which you can select a user to manage. Click the user's name. The Accruals Management section will be displayed underneath the search results. If the user already has accruals assigned to him/her, you will be able to see the remaining balances for each assigned accrual. Accruals are associated to the default Pay Type column on time entry screens. As users track time against pay types with existing accrual balances, the balances are debited by the hours entered by the user for that pay type. To reset the hours of the remaining balance to a different value, specify the new hour count value and click the Save button.

To create a new accrual for the user, look at the "Create new accrual" section at the bottom. Select the Pay Type that the accrual balance will control. Now select the accrual type from the dropdown - either Hard, Soft or Hidden. A soft accrual type will allow the user to exceed the balance while presenting a warning that the balance has been exceeded. A hard accrual type will not allow the user to exceed the balance allocated to him/her. A hidden accrual type works just like the hard accrual type except the balance will not be shown to the end user on the Accruals tooltip in his or her timesheet. Please note that "hidden" balances may still be displayed to users in some circumstances: for example, when creating a Leave Request that violates a hidden balance, the user will be told what is the remaining amount in the hidden balance.

Specify the initial hour balance for that accrual in the "Hours Remaining" column. When finished, click the Create button.

To completely delete an accrual that has been assigned to a user, select the accrual and click the Delete button.
